The Superbill function can also be accessed from the Clinical Care module by clicking on the Superbill link on the Patient Dashboard.

This is found here because a Superbill cannot be created without an encounter.

default

A preselected value or setting that will be used unless the user specifies a substitute by overriding the preselected choice.

radio button

A specialized type of button on a software interface that toggles on (round button visible) and off (blank circle). Radio buttons tell the user that only one response is appropriate because two radio buttons can't be depressed at the same time.

check box

A specialized type of button that toggles on (checked) and off (unchecked). Check boxes are often used when more than one response might be appropriate (as in "Check all that apply"), but sometimes they should be interpreted to mean yes or no (as in a check box next to the caption "OK to mail?").

In addition to viewing the contents of the patient's record, you can add a new encounter or enter an existing encounter.

All clinical documentation is performed within a patient encounter. Users must be in a patient encounter before documenting any clinical care. This reminds us that clinical documentation is performed within a visit between a patient and healthcare provider.

button

An element of the user interface on which the user can click to execute a command, such as save, confirm, cancel, or exit.

Active Patient

An established patient who has seen the provider or another provider in the billing group within the past 3 years.

The EHR system includes

Front Office, Clinical Care, and Coding & Billing modules to provide real-life application in a safe learning environment.

SCMO has a robust number of resources to help you get the most from the system. You can access these from the Evolve page. The link for Student Resources is found on the left-side info panel, listed under Course Content

Getting Started: • Quick Tips for Students • Modules • Simulation Playground • FAQ • Glossary • Info Panel • Medical Office Workflow • Using the Encoder •TruCode User Guide

In addition to carrying out these clinical functions, the user can upload diagnostic imaging and laboratory requests with the help of the Form Repository.

In addition to carrying out these clinical functions, the user can upload diagnostic imaging and laboratory requests with the help of the Form Repository.

In order for a medical office to function, services rendered must be reimbursed.

Managing the monies going in and out of the office is the primary responsibility of the billing and coding department and the focus of the last SCMO module.

Assignments: • Assignments List • Assignments Overview • Submitting Assignments Grading: • Grading Overview

Job Readiness: • Portfolio Tips • Job Readiness Skills • Student Success • Showcasing Experience Competencies: • Competencies Overview • ABHES Accreditation Manual, 17e • CAAHEP Competency Standards Documents and Forms • CMS 1500 Claim Form • CMS 1500 Claim Form Instructions • CMS 1500 Claim Form Change Log

View and document all patient care within the Clinical Care module, accessed by clicking the Clinical Care tab or the Find Patient icon.

Once a patient is selected, SCMO will display a summary of all patient record entries known as the Patient Dashboard

field

Space allocated on a form for specific numeric or text data.

The SCMO Info Panel is located on the left side of the screen and changes depending on the module. The Info Panel in the Clinical Care setting is used to create an encounter or to enter laboratory and diagnostic test results

The Coding & Billing module uses the Info Panel to toggle between the various responsibilities of a reimbursement specialist. Info Panels are also used in the Form Repository and Correspondence menus to indicate which templates are available in each tool.

The Patient Demographics tool is used to establish and manage patient and payer information.

The Form Repository provides a comprehensive set of office forms.

You can toggle back and forth between these sections but must click the Start Assignment button in the bottom right corner of the Case section to start the simulation portion of an assignment. The information found in the Case section can be printed by clicking on the Print button at the bottom of the page.

The Front Office calendar is the default landing page for all assignments. From this view you must use the details in the Assignment Description to determine how to complete the tasks in an assignment.

retention period

The amount of time patient records must, by law, be maintained by the medical office.

As mentioned, the Front Office calendar is the default landing page of the simulation

The office staff views the calendar more frequently than most pages in order to effectively manage patient visits. Users can create, edit, and delete new or established patient appointments. An appointment matrix can be established by adding block or other appointment slots such as staff meetings, lunch hours, or sales meetings. Other administrative functions within the Front Office module include composing patient letters, phone messages, and emails with the use of the Correspondence menu.

This information can be viewed and/or printed when you are in the simulation by clicking on the orange Assignment Details tab on the right side of the screen. The assignment title displays at the top of the screen in black text, distinguishing this environment from the Simulation Playground environment. Once you complete your EHR activity, click the Back to Assignment link, found above the TruCode icon in the upper right of the screen, in order to save your work. At this point you can submit your assignment for grading, if your instructor does not require that you complete the Post-Case Quiz, by clicking on the Submit Assignment button in the bottom left corner of the Case section. If your instructor requires the completion of the Post-Case Quiz, you can click on Post-Case Quiz in the Info Panel.

The questions in the Post-Case Quiz refer to simulation activity in some cases, but most questions address general best practices. After you have completed the questions in the Post-Case Quiz, you can then click on the Submit Assignment button to submit both your simulation work and the answers to quiz questions. Instructors manually evaluate student activity within the simulation portion of an assignment, but the system automatically grades answers to quiz questions and generates a preliminary score for the assignment. You can view your preliminary score within the Graded Assignments tab of the Info Panel. Once your instructor reviews your simulation work and approves this automatically generated score, the grade will become bold. If you click on the assignment title in the Graded Assignments tab, you will be able to see any comments your instructor has provided and also be able to reenter the simulation to review the work that you completed there.

closed patient record

The record of a patient who will not be returning to the medical office or who has not been seen in the past 10 years.

All of the documents and data created in the Front Office module

can be viewed, saved to patient records, and printed.

. The Find Patient tool makes this task painless. When you type the first few letters of a patient's last name into the Last Name field and click the Go button,

the EHR automatically displays matching items at the top of the list

Just like the Front Office and Clinical Care functions, the Form Repository feature plays a large role in this module as well. Insurance specialists regularly use forms such as

the Insurance Claim Tracer, Patient Statement, and Bank Deposit Slip. The user can practice coding skills and understand the importance of good documentation when reviewing the progress notes by completing the Superbill and claim.

inactive patient

who has not seen the provider or another provider in the billing group for 3 or more years.

This grid displays the assignment title, module, estimated duration (approximately how long it should take to complete the assignment), and status of an assignment. Once you click on the assignment title, you will enter the assignment portal, which contains:

• Case: An EHR case study with listed objectives and attachments (if needed to complete the assignment) • Competencies: A list of any accreditation competencies covered in the assignment • Post-Case Quiz: A series of content questions related to the assignment • Additional Resources

There are several clinical records for data entry:

• allergies • chief complaint • health history • immunizations • medications • order entry • patient education • preventive services • problem list • progress note • vitals signs

The main features of the Coding & Billing module include:

• superbill • ledger • claim processing • day sheet • reporting • auditing
