Types or Parameters

A formula - Search for a specific text string by entering a formula or text. A secure query parameter - You can use secure parameters in order to more completely ensure the security of your prefilled data. Enabling secure parameters does require some technical knowledge and familiarity with Apex coding & Visualforce. An unsafe query parameter - This is the most common parameter to be used, and it is easier to implement than a secure query parameter. You can also dynamically change unsafe query parameters, which makes them very suitable for mail merge fields and dynamically prefilled links. A lookup result - If you are looking up multiple records or objects in your connector, you can use a previously located record's ID in a later step's lookup.

Step 1: Variable

A variable is a value that can be defined by an answer given in your form. A variable must be assigned to a question before it can be used in a formula. To define a variable, follow these steps: Select any field in your form. Use the Options button to open the Form Properties panel. Expand the Calculations tab. Check the "This is a variable" box. Enter a variable name for the question. If you selected a multiple-choice question, you must provide a value for each choice.When creating a variable, keep these rules in mind: Variables may not include numbers, spaces, or other non-alphabetic characters. Variables are case sensitive. Your variable name should not use any of the JavaScript Reserved Words.

Saving Predefined content

Any element in your form can be added to the Predefined Content menu for future use. If you've created a question or section that you think you'll want to use later in a different form, click the element to open the editing toolbar, then select Options. At the bottom of the Form Properties panel, click Add to Predefined Content. Next you'll need to choose a name for your new element. If you'd like, you can provide an optional category as well as an optional description. Once you click Save, this element will become available in the Predefined Content menu.

Step 2: Create a Calculation

Calculation is evaluated as the form is filled out, and the form is submitted with the computed value. Calculated fields are only able to run single-line JavaScript equations. They are mostly used to perform simple arithmetic, such as computing a total in an order form. Note: We are unable to provide support for custom JavaScript which is needed in many Calculations. For example, you could create two fields in your form: "Price" and "Tip". If you set "Price" to be a variable with the name "price" and "Tip" to be a variable with the name "tip", you could use the following Calculation to output the total amount:

Menu Dependencies

Drop-down menus can be linked together to help you show certain options based on your respondent's answers. The parent menu controls which subset of choices is visible in a child menu. For instance, we have two drop-down menus: Continent (parent) and Country (child). If Europe is chosen in the parent menu, only European countries will be visible in the child menu. Please Note: Menu Dependencies currently do not allow for importing via CSV dataset or use of the Autosuggest feature. E-signature

For users of FormAssembly's Premier plan and above, you can enable E-Signature collection on your forms. FormAssembly's E-Signature feature has been designed to be compliant with U.S. E-Signature regulations, including The Uniform Electronic Transactions Act (UETA). FormAssembly's E-Signature feature accomplishes two primary functions: 1. Provides an audit trail that includes authentication of the respondent and shows that they are who they say they are. 2. Complies with the E-Sign Act that states that electronic signatures, if used according to the law, are legally binding and valid to the same extent as signatures attached to paper documents.

Section Types

Group: A group is an invisible way to organize multiple elements in a form. Fieldset: A fieldset visually groups related questions together, such as contact information. The fieldset has a border, and its title (called a legend) is characteristically displayed across the top border. Page: You can add multiple pages to a form for a more user-friendly and organized layout. It's easiest to create the page first, then create the fields within the page. However, you can also drag and drop fields into other pages.

Sensitive Data

If you are collecting sensitive data such as credit card information, passport numbers, SSNs, and more, we strongly recommend setting a Sensitive Data Type on the field. In particular, credit card fields must be marked as sensitive data in order to avoid violating our terms of service. These settings will protect the data by masking it so that only the last 4 digits are available after passing the information through a payment connector.

Predefined content

If you have fields or sections that you use regularly, you can save them as Predefined Content in order to easily add them to forms in the future! Some good examples of Predefined Content include dropdown menus with countries or states, sections with commonly used contact information fields, and groups of text and fields that you wish to use in more than one form. Once you have created your Predefined Content once, you can use it as many times as you'd like in the future.

Repeatable sections

If you need multiple repeatable fields, it's best to place the fields within a section and make the section repeat instead. For example, if you're collecting contact information, some respondents may need to add ten contacts while some may need to add three. You could move each of the contact fields (first name, last name, email) into one section which can then be repeated as a whole.

Form not loading

If your form does not load and instead you see a sad robot error, you may need to reauthenticate your Prefill Connector. Open the Salesforce Prefill Connector and click the Change Access button next to your current authentication at the top of the page: Then under "Connect using," select your current authentication again to reconnect to it.

Navigation Bar

If your form has multiple pages, you may want to add an easy way for your respondents to move between them. You can add page navigation to a multi-page form with the Navigation Bar. Respondents can click on a number in the Navigation Bar to jump to the corresponding page.

Form Calculations

In many cases, you'll need the following in order to use Calculations: At least one field that has been marked as a variable A different field that has been marked as a calculated field A JavaScript formula (Calculation) that will be placed in the calculated field The Calculation will run when the form opens and the output will appear in the calculated field.

Notifications

Notifications are emails that are usually sent to the form owner, administrator, or other individuals you designate from inside your organization. They'll alert you every time a user submits a form response. The default notification template includes submission date, completion time, and the full response text, but you can also customize the emails so that you only receive the information you need in the format you want.

Restrict by date

Setting a date restriction will reject form submissions outside of the date range specified. If a time is not specified then the restrictions will kick in at 12:00 AM on the date entered (based on your locale/timezone).

Repeatable Option

Setting a field or section to be repeatable will cause special links to appear next to it, allowing respondents to add more copies of the field/section or delete them. With this, your respondents can choose to submit multiples of a field or section.

Auto-responder

The Auto-Responder creates emails and sends them to respondents after they submit a form response. In order to enable the Auto-Responder, you'll need to have an email-validated field in your form to collect the respondent's email address. Beyond that requirement, Auto-Responses are flexible. You can provide a respondent with a copy of the data they submitted, a receipt for an order or donation, or just a message thanking them for taking the time to fill out your form.

Compact

The Compact view will exclude any additional text and will only show the form fields. Form labels and values will be inline to reduce the length of the response.

This connector uses defined values to first locate records in Salesforce and then to prefill the information from the located records into the form. This means that you can only prefill information that exists in Salesforce, and that you will need a value that can help locate records.

This default view will exclude any additional text and will only show the form fields.

Lookup returned no record and aborted connector execution

This error will only appear if you have the "End execution and log an error" setting selected for one of your steps. If this error appears when loading your form, it means that no records were found in Salesforce by your Prefill Connector lookup. You can either changing this setting to "Skip prefilling" instead, or you can check to make sure that your prefilled link is correctly formatted to locate a record in Salesforce. If you need any assistance with errors in your connector or form you can also reach out to our Support team at any time.

Google reCAPTCHA

is a test used to determine if the person submitting the form is a real human, or an automated program (bot). While this technique is not 100% foolproof, it should cut down the spam you receive quite significantly. Google reCAPTCHA can also be used to require that your respondents have JavaScript turned on in their browser! This is because Google reCAPTCHA needs JavaScript to run, and your form needs Google reCAPTCHA to submit. If you're experiencing issues with respondents submitting their forms but not filling in required fields then this may solve the issue.

Why are repeatable fields useful?

Within forms such as job applications, registration forms, and customer service forms, you may want to allow your respondents to choose whether they add more than one answer to a question or upload more than one field. Repeatable fields and sections allow respondents to do just that. You can make any field or section repeatable and the respondent will be given the ability to click an "add" link to add another copy of that field or section to the response.

allows respondents to select a file on their computer and attach it to the form. Please note that there's a 35 MB limit for the total size of uploaded files. For Enterprise users, the limit is 30 MB, but they may request that their upload limit be decreased or increased to a max of 35 MB. We currently have a maximum of 20 file upload fields that can be added to a form.

Text Area

allows several lines of text. Best for questions requiring longer answers, like an essay. You can define a character limit for the field with the validation rules.

Autosuggest

is available to all Premier, Enterprise, and Compliance Cloud users. The feature can be used on all forms that are using Form Builder version 4.4.0 or higher. Form Builder 5.0 is currently the default version for newly-created forms. not compatible with our Menu Dependency feature. The Autosuggest menu option works best for large menus and can support up to 200,000 choices. With Autosuggest, rather than locating choices in a lengthy dropdown menu, users are instead able to begin typing into a text input field and have valid entries from a list you upload suggested to them. In the new Form Builder 5.0, Autosuggest menus now support up to 20 columns in your dataset. That means you can map up to 20 columns to existing form fields, or create new fields for your dataset columns.
