What is a rule-based task?

Rule-based systems work by rules. Rules outline triggers and actions to be followed (or triggered). Rules tell the machine what to do, and it will do exactly what you tell it to do. From there, the rules-based system will carry out the action until you tell it to stop. • The system does not work on its own or make intelligent decisions. Rules- based systems will also not change or update, and will not 'learn' from mistakes, so make sure you input the correct steps.

What is a system flowchart?

System Flowchart: - Graphical representation of a business process - Includes data input, processing, storage, output AND related operations processes (people, equipment, organization, work activities) - More detailed than process maps: 'system view'

What is a standardised task?

The process follows best-practices (non-value adding tasks should be eliminated). • There is a certain way to complete the task without too many variations. • The data involved in executing the task is standardized, otherwise the bot will not know what to do with unexpected data.

Accounts receivable: bots issue and send invoices by email • Accounts payable: bots direct invoices to finance team, match purchase orders to invoices, flag mismatches • Intercompany reconciliations: bots match records, notify discrepancies

What is a machine readable task?

Data is machine readable, e.g. in Excel, Word, PDF, Outlook email • If on paper, Optical Character Recognition (OCR) is used to convert to electronic format

What are some RPA Implications?

Disproportionately affects accountants with low level skills who do repetitive work. • Not always about saving costs or reducing staff count, although outsourcing may reduce. • RPA to improve speed of tasks and the quality of work. • Can improve work satisfaction. - complex to understand - Automation of bad processes can cause more trouble than benefits - Need to implement 'bot governance' to manage risks of RPA. - Need to understand processes at a keystroke level -> more tech-savvy accountants needed.
