What happens after I submit my New Sales Order?

We know you are excited! But we have to make sure that all the information is correct so we can make sure the customer gets the right product! The invoicing team will respond to your request if they have any questions, or they will respond with a new update asking for your approval on the invoice! You will be tagged in this so make sure to check your notifications! We recommend having email notifications and phone push notifications turned on to ensure you are in the know as fast as possible!

This is the first time I am using Monday.com what should I do?

Welcome to Limitless CBD and Monday.com! There is SO much that can be done with monday. First, start off with familiarizing yourself with the platform. Once you have an account and are logged in you will see different Workspaces on the left side of the screen. The different workspaces you will be assigned to depend on your role within the company. Daily sales tracker is where you can see all current orders being worked on or awaiting payment. Sample packs are where Sales reps can see tracking information and invoices for samples requested for new clients. Team tasks is where groups of employees can collaborate on jobs and tasks assigned to them! Go ahead and look around and see the different pages. Don't ever forget, if you get confused or don't know what something is ASK!

I am a sales rep, how do I submit a new order?

Awesome, its time for you to submit a new order for a customer! Go ahead and load up monday.com, login and go to your workspace bar. You will find the board called "New Sales Orders" In previous training you should have learned how to create a sales Excel sheet. Under the month that you are currently in you will see at the bottom of that section a "+Add" button. Click that! You will in the large box type in the Customer account name for example "Johns Smoke Shop". After that new row is created click on it. It will open a new bar to the right side of your screen. This is where you will see all the updates and communication between the team! Where it says "Write an update..." click that. Here you will upload the excel document by click "Add files" Tag the team responsible for creating the invoice and hit UPDATE! Now the invoicing team will be with you soon to get your approval!

My sales order has been approved and the invoice has been sent to the customer. What happens now?

Congratulations. You have just got your first invoice to a customer! Now the row that you created under the New Sales Order will be transferred over to the "Daily Sales Tracker" Board under your workspace tab. Under here there are many different groups. The "Awaiting Payment" group is for invoices that are sent to the customer but have not been paid yet. Once they are paid they will be moved to the "In Production" group The In Production Group of rows is what the Warehouse is currently working on. There is alot of information now so we will break down all of the different columns

Where do I check my notifications?

Great question. When you set up your account and you can also change this in your profile settings, you can get notifications if you download the Monday.com App to your phone, or if you use it on a computer, you can enable desktop notifications that will appear! If you miss a notification do not worry. In the top left corner, you will see a little bell underneath the monday.com logo. This is all your recent notifications. Click that button and a new window will pop open and you can see your notifications!

What is monday.com?

Monday.com is an interactive project board accessible by everyone at Limitless CBD. This program allows you to see status of orders, work with other people in your department or within the company on projects and so much more!

Daily Sales Tracker Continued...

The first column will be the name of the account you inputted on the new sales order page. Once the invoice is created the Invoice Type column will be updated to represent what type of invoice this is followed by the next column of what invoice number it is. The owner is YOU! You will be assigned to each row that you are the sales rep for. This way you get notifications on all updates that happen to that row! We also include the date the invoice was sent, as well as the day the invoice was payed and how much the invoice was for. They Payments column will show you the status in which the Invoice is at in regards to the payment. The status column will show you an idea of where it is at in the process of being created, packaged or fulfilled. The warehouse trys to update this daily. The Final invoice column shows what the warehouse is working on and the printed column will show if it has been printed in the warehouse yet. Shipping column will give information on shipment status once its ready for shipment and the tracking # is next to give you that information The last three columns are for our private label orders that require out source label printing so our warehouse team can follow the status of those when they come in!
