Communication barriers

Factors that stop effective s=communication of messages

Internal communication

Is the transfer of messages between members within the same organisation

Message

The information or instruction being passed from a sender to a receiver

Feedback

The reply from the receiver to show that the message has been received, understood and if necessary acted upon.

External communication

The transfer of messages between members of different organisations

Communication

The transferring of a message from a sender to a receiver who understands the message.

One-way communication

When a message does not require feedback

Two-way communication

When the receiver is able to give a response to a message. This can lead to discussion about the message and lead to clearer information or understanding

Verbal communication methods

-One-to-one talks -Telephone calls -video conferencing -team briefings (meetings)

Examples of external communication

-Orders for goods from suppliers - Sending information to customers - Advertising goods/services - Asking customers to pay bills on time

Advantages of visual communications

-People are more attracted to films more than writting - Charts and diagrams can be used to make written messages more clear

Advantages of written communication

-Record of the message that can be seen later - Essential for complicated messages - It can be copied and sent to to people - Electronic communication is cheap and easy

Advantages of two-way communication

-Can motivate the receiver -Becomes clear to the sender wether the receiver has understood the message

Features of effective communication

-Transmitter (sender) -Medium (method of sending message) -Receiver ( whom the message is sent to) -Feedback the message is received)

Communication Methods

-Verbal -Written -Visual

Disadvantages to written communication

-Direct feedback is not always possible -It is not easy to check if the message has been understood as with verbal communication - The language used can be difficult to understand - No body language/ tone of voice to reinforce the message

Visual communication methods

-Films,videos, slideshow presentations -Posters -Charts/diagrams -Photographs and cartoons

Written communication methods

- Business letter (internal/external) -Memos (Internal) -Reports (mainly internal) -Notices -Faxes (internal/External) -Text messages (Internal /external) -Email ( external/internal) -Social media (external)

Disadvantages of verbal communication

- In large groups some people may not have been listening - May be inappropriate if permanent record of the message is needed -May become time consuming when a lot of feedback is given

Advantages of verbal communication

-Information is given out quickly -There is opportunity for immediate feedback -Message reinforced by seeing the speaker

Disadvantages of visual communication

-No feedback - Often have to be accompanied by written commuinication to ensure the message is understood. -Some people may find charts/diagrams difficult to understand
