Monitoring

The Initiating Process Group

PURPOSE - Align the stakeholders expectations and the project purpose - Inform stakeholders of the scope and objectives - Discuss how their participation can help ensure their expectations are met - stakeholders who can influence the outcome of the project are identified - when the project charter is approved, the project is officially authorized and the project manager is authorized to apply organizational resources to project activities TIMING 1) Initiating - the project charter is developed, is the starting point and guides management throughout the project 2)Planning 3) Executing 4) Monitoring and Controlling 5)Closing ROLE - the project manager is involved with developing the business case and defining the benefits and generally helps write the project charter CONTEXT - a project involves work that is separate from day-to-day organizational activities - this means that a project within an organization may require resources that typically have day-today tasks

Executing Process Group

PURPOSE - consists of those processes performed to complete the work defined in the project management plan to satisfy the project management plan 1) coordinating resources 2) managing stakeholder engagement 3) integrating and performing the activities of the project - the key benefit of this process group is that the work needed to meet the project objectives is performed according to plan TIMING - at the third stage (carrying out the work) the project team will perform their assigned tasks according to plan - as the project manager, you will ensure that team members know their tasks and delegate responsibilities as appropriate ROLE - delegate the appropriate responsibilities with effective communications - build team cohesiveness and relationships to both external and internal stakeholders integrate the various parts of the project work into a cohesiveness whole - ensure stakeholders needs are being met in relation to the approved scope CONTEXT - the assigned resources will do their work as outlined in the project management plan and the schedule - the plan is referenced periodically to ensure that the work that is being done serves the approved scope

Planning Process Group

PURPOSE - establish the total scope of the effort - define and refine the objectives - develop the course of action required to attain those objectives - the processes in this process group develop the components of the project management plan and the project documents used to carry out the project - the key benefit is that it defines the course of action to successfully complete the project or phase TIMING - during the second stage (planning) the project manager gathers relevant stakeholders to establish the total scope of the project and have a course of action ready to achieve objectives ROLE - the project manager will seek input and encourage and facilitate involvement from relevant stakeholders while planning the project - the project management plan and project documents are considered baselines - compare the status of the project to those baselines and manage any changes appropriately, updating those baselines if needed CONTEXT - when a project is approved by the organization, the project team begins planning - a plan ensures that only necessary work is being completed and that stakeholders have buy-in with the projects future

Closing Process Group

PURPOSE - formally complete or close a project, phase, or contract - this group verifies that the defined processes are completed within all of the process groups to close the project or phase, and formally establishes that the project or phase is complete KEY BENEFIT - is that phases, projects, and contracts are closed out appropriately TIMING - at the fourth stage (closing) the team verifies that the project work is complete - this is done by utilizing the process in the closing process group ROLE As the project manager you are responsible for: - resources being released - documents are updated and archived - organizational process assets and lessons learned are updated - contracts are closed - performance metrics and reports are complete CONTEXT - resources will be released or reassigned to their organizational roles and that stakeholders will receive the completed project results

Monitoring and Controlling Process Group

PURPOSE 1) track, review, ands regulate the progress and the performance of the project 2) identify any areas where changes to the plan are required 3) initiate those changes ROLE As the project manager you need to: - continuously monitor the work being completed - recommend corrective actions that will get it back on track CONTEXT - as the project manager, you will have insight to recognize flaws in the work and can recommend changes to stakeholders to get you project back on track KEY BENEFIT - the keybenefit of this process group is that performance is measured and analyzed at regular intervals or appropriate events, to identify and correct variances from the project management plan
