Unit 5: Presentation Technology In this unit, you learned about presentation technology—software applications that help organize and convey information to an audience. Presentations are used for a number of business purposes, such as sales, professional development, education, fundraising, motivation, persuasion, and reporting. Information is laid out on screens called slides and displayed as slideshows. These slides can also be printed and distributed as handouts and/or published on the Web. Text, graphics, and special effects are all important components of your presentation and influence its effectiveness. Presentation text provides a visual outline of your presentation. Although there are few concrete rules governing the use of text in presentations, following these guidelines will improve your presentation:

Choose fonts that are appropriate for your audience. Make sure the font color you choose works well with your background. Limit the number of fonts you use to three or four. Make sure the font size you choose is appropriate for the way your presentation will be displayed.

Considering solutions and list ideas.

*After drafting his initial outline, Cody develops a general idea of what he wants to discuss under each point.*

Current status—On this slide, he discusses the lack of recreational activities in the town. Teenagers hang out on corners and get into trouble. Older residents are growing fatter and more unhealthy. He knows that he needs several slides to develop this idea. Recreation center benefits—On this set of slides, Cody discusses the various activities that the center can provide and the benefits it will have for various age groups. He also lists advantages to the city, such as reduced crime, increased business, additional tax revenues, a more active and vital population, and a reduced need for city services. Project outline and timeline—Here Cody provides a timeline for the construction and discusses its phases. Projected costs—This slide provides an estimate for the cost of each phase of the project. A look to the future—This requires a set of slides giving descriptions and illustrations of how the center will be used by the city's residents as well as the advantages the city will gain as a result. At this point, Cody is ready to add to his outline. He will use bullet points and short phrases. He uses parentheses to indicate areas where illustrations will be needed and descriptions for them.

Effective Communication Skills

In the first section of this unit, we focused on effective communication skills. You learned about communication as the transmission of a message between a sender and a receiver. You also learned that there can be barriers that can interfere with communication. You compared characteristics of effective communication (clear, organized, prepared, logical, sequential) to characteristics of ineffective communication (jumbled, confusing, disorganized). In this chapter, we also focused specifically on electronic communication skills. Since so much communication in today's workplace is transmitted electronically (such as e-mail), it is important to be able to communicate clearly via electronic means. Netiquette refers to the rules of polite and courteous electronic communication, or Internet etiquette. Here are some common netiquette guidelines: Make use of the subject line to let your reader know the main purpose of the e-mail. Keep e-mails short and to the point. No one likes to read a long and rambling e-mail, and many people just won't read the whole message. Try to keep the e-mail short enough that the reader will not have to scroll to read it, and use bullet points to highlight important information. Use a font style, size, and color that is easy to read. Avoid composing e-mails in ALL CAPITAL LETTERS, or ALL CAPS. For some readers, all caps can be very hard to read. For others, all caps indicates that you are shouting at the reader. Review your e-mail before you click send to make sure your message is clearly and accurately written (no misspelled words, no grammatical errors, and so on). Use language, vocabulary, and tone that are appropriate for the receiver of your message. Don't forward spam or chain letters. Only forward messages when you have permission to do so. Remember that e-mail is a permanent written record. Never write an e-mail with information that you would not want to have made public. If you are angry or upset, wait to write your e-mail.

When communicating electronically, it is important to follow guidelines to be polite and courteous. These guidelines are called Netiquette. Here are some of the guidelines:

Include a subject. Keep e-mails short and concise. Use font, size, style, and color that are easy to read. Avoid writing e-mails in all capital letters. Make sure your message is clear, accurate, and free of mistakes. Use language, vocabulary, and tone that are appropriate for the receiver. Don't forward spam or chain letters. Keep in mind that an e-mail may be saved permanently.

*Which of the following is not a benefit of active listening?*

It lets you express your own emotions or opinions.

*When using correct ergonomic technique be sure to _____.*

Keep your arms comfortable at your side forming a 90° angle with your upper arms.

*Select all examples of proper keyboarding technique.*

Keep your eyes on the text you are typing. Aim to make no mistakes Keep your hands slightly lower than your elbows.

*Select all examples of proper keyboarding technique.*

Keep your eyes on the text you are typing. Aim to make no mistakes. Keep your hands slightly lower than your elbows.

Unit 2: Keyboarding In Unit 2, you practiced keyboarding techniques both for letters and characters on a standard keyboard and numbers and symbols on the numeric keyboard. When keying many numbers, use the numeric keyboarding. To improve your keyboarding, it is important to use proper technique. Here is a list of the proper techniques: When your hands are on home row on a standard keyboard, your left hand rests on a s d f and your right hand rests on j k l ;. When using the numeric keypad, the fingers on your right hand should be placed on 4 5 6, which is the home row.

Keep your hands resting on home row, and return your fingers quickly to home row after pressing a key somewhere else. Keep your hands parallel to the keyboard and fingers comfortably curved. Relax your fingers. Press the keys squarely in the center of the key. Keep your arms level with the keyboard and your elbows close to your side. Your hands should be slightly lower than your elbows. Sit up straight. Take some breaks. Stay in control and aim to get 100 percent correct. Try not to look at the keyboard. If you must look at the keyboard, find the key quickly and look away before typing the key.

*Select the tips you should follow when creating a newsletter.*

Know your audience and put yourself in its shoes. Get to the point quickly. Be clear and concise.

Tables and spreadsheets are effective ways to deliver information within a presentation. Guidelines for their use include the following:

Make your objects large enough so they can be seen by your audience. Use a font size large enough to be read by your audience—18-point or larger. Limit the number of rows and columns to an amount that can be reasonably viewed on the screen. Generally, you should not have more than four columns or five rows. Use column and row headers that are appropriate and descriptive.

*Which of the strategies below are likely to increase audience attention?*

Match special effects to content. Use consistent transitions. Use similar animation styles on each slide.

Also in unit 1, you explored emerging technologies. Some of those emerging technologies included:

RFID: Radio Frequency Identification, an automatic identification device that lets you store and retrieve information Automated Fingerprint Identification: a technique used to verify a person's fingerprints Touch Screen: a four-foot by six-foot touch-screen computer Digital ink pen: a pen that captures handwritten notes and downloads them to the computer so that the text can be displayed on the monitor Smart card: a pocket-sized card that can store data and process information Electronic Paper Display: a display or sign with the ability to update the information electronically

*At work, Mario was trying to show Jenessa the new procedure for stocking the shelves. Jenessa kept working as he explained and quickly became frustrated because Mario kept telling her she was doing it wrong. What could Jenessa have done first to be a better active listener?*

She could have stopped what she was doing to give Mario her full attention.

*Select all examples of proper keyboarding technique.*

Sit up straight. Aim to make no mistakes. Relax your fingers.

In addition, active listening is an important skill. The following are steps to take for active listening:

Stop what you are doing to look at the other person and give them your full attention. Show interest in what the person has to say. Ask questions to clarify. Listen to not only the words but also the emotions being expressed. Be aware of how your own emotions or opinions may influence what you hear. Do not interrupt, except to show you are listening or to ask questions.

https://fgsd.owschools.com/media/g_keyms_2013/7/img_venn_wiki_blog.gif

These skills, habits, and attitudes can be developed. One way you can develop these skills is by using active listening when you receive feedback about your performance. Active listening helps you work efficiently, meet expectations, and avoid or resolve misunderstandings and conflicts. The following are steps you can take for active listening: 1. Stop whatever you are doing to give the other person your full attention. Look at the person. 2. Be interested in what the person has to say. Ask questions to clarify the message. 3. Listen not only to the words that are being said but also to the emotions being expressed. 4. Be aware of the ways in which your own emotions or opinions might influence what you are hearing. 5. Do not interrupt, except to show you are listening or to ask questions. In addition to e-mail, many businesses are beginning to use some relatively new telecommunications technologies. You learned about two of these—blogs and wikis. Blogs and wikis share many similarities, but there are important differences, as you can see in the Venn diagram below.

*What are the benefits of using presentations to organize and deliver information?*

They add visual appeal. They are easy to update. They can be quickly created.

Unit 1: Computer Hardware In Unit 1, you focused on technical terms and looked at the difference between hardware and software. Hardware refers to the physical devices that make up the computer or technical equipment such as the monitor, mouse, camera, scanner, printer, and many of the electronics inside the body of the computer. Software refers to the programs or instructions given to the computer or technical device so that it can work. You learned about how technology can help a worker get a task done more efficiently and effectively, and you explored the functions of some specific software and hardware. Here is a list of some of the hardware and software you studied, along with their functions.

Word Processors: a tool used to type, edit, save, and print any type of text. Spreadsheets: software used for numbers and financial information. The spreadsheet will make many types of calculations such as addition, subtraction, multiplication, division, and finding averages. Databases: application software that is very useful in organizing data. The data or information entered into the database can be just about anything. This data could include parts in a machine, nutrition information, addresses and phone numbers, or books in a library. E-mail: mail sent electronically. The electronic mail includes written information, graphics, and attached documents. The e-mail may be sent to one person or many. After reading an e-mail, you can reply to the e-mail, forward it to other recipients or save it. Presentation Software: software used to create a slide show that can display key text and visuals such as graphs, charts, or graphics. Graphics Software and Image Editing Software: tools that enable an individual to create or change visual images on a computer. Computer Aided Design (CAD): software used to design many different types of products. In other words, the CAD software allows someone to draw using the computer. CAD is used in the design of tools and machinery as well as in the drafting and design of all types of buildings. CAD may be used in the design of a tunnel, sewer system, car, digital circuit, and much more. Scanner: hardware that scans an image, an object, text, or a bar code. Fax machine: hardware used to send documents over telephone wires to another fax machine.
